The guide and quote request

The guide runs in your browser. The form collects your business name, email address, store address, chosen service and project details. Fields marked * are required to prepare your request and reply to you. Do not send passwords, sensitive data or personal data relating to your customers.

By clicking “Send my request”, you send this information and any guide answers to Formspree, Inc., which processes them to deliver the request to KOE. The legal basis is taking pre-contractual steps at the data subject’s request or, where they represent a business, the legitimate interest in responding to business enquiries. You are not subscribed to a newsletter.

Downloading and copying do not send the content to KOE or Formspree. The file stays on your device and the clipboard is used at your request. Form data remains in memory during your visit; your browser may apply its own restoration or autofill features. The application does not implement persistent local storage.

When you contact KOE

If you voluntarily send your request by email or another channel, KOE processes your identity, business contact details, role, correspondence and information needed to prepare a quote. This processing is based on pre-contractual steps at your request and, subsequently, performance of the contract. Invoice management is based on legal obligations. Handling rights requests and defending KOE’s rights are based, as applicable, on a legal obligation or the legitimate interest in protecting its rights.

This website does not automatically subscribe you to a newsletter. The guide does not carry out profiling or make decisions with legal effects.

Retention periods

Guide and form information is not stored by the application in the browser after reloading or closing the page. Requests actually sent are processed by Formspree and retained in KOE’s mailbox for the periods below. For correspondence received by KOE, information is kept for as long as needed to handle the enquiry; sales follow-up data is deleted no later than three years after the prospect’s last active contact, unless needed as evidence. Contract records needed as evidence are archived with restricted access for the applicable limitation period, generally five years after the relationship ends; accounting records are kept for ten years from the end of the relevant financial year. A dispute may justify appropriate retention until its final resolution.

Recipients and service providers

Requests addressed to KOE are accessible to Julie AKCAY and, only as necessary, to email, administration and accounting providers used for the business relationship. The contact@koe-commerce.com mailbox is provided by OVHcloud through Zimbra. Information shared by email is therefore also processed by this provider to deliver and host correspondence. Any contributors needed for an engagement are identified as part of the contractual relationship; the website includes no CRM, newsletter or payment tool. The website does not sell data.

Hosting and security services may process technical data such as IP addresses, browser information, requests and security events. This processing serves to deliver pages, control private access and protect the service, and is based on the legitimate interest in ensuring availability and security. KOE does not have access to the platform’s detailed technical log retention periods. Hosted data is processed while the service is provided and for as long as needed to meet end-of-service obligations, including deletion, under the ChatGPT Sites data processing agreement. The platform’s subprocessors and processing countries are listed in OpenAI’s official list. For transfers outside the European Economic Area, the agreement provides for an adequacy decision or standard contractual clauses; you can contact KOE for information about these safeguards. No claim is made that data is located exclusively in France or the European Union.

Sending requests through Formspree

Formspree, Inc. receives form fields and technical data (IP address, browser and origin) to deliver requests and prevent abuse. The provider states that it processes data in the United States and uses standard contractual clauses for relevant transfers. Its free plan provides thirty days of submission history; this access period does not guarantee deletion of all backups. You can contact KOE to request deletion of a submission and further information about transfer safeguards. Messages received in KOE’s mailbox follow the retention periods above.

Your rights

You can request access to, rectification, erasure or restriction of your data, and data portability where the legal conditions are met. You can object to processing based on legitimate interests and to any direct marketing. Where processing is based on consent, you can withdraw it at any time without affecting earlier processing. You can also give instructions about what should happen to your data after your death.

Send your request to the business contact in the legal notice. Proof of identity is requested only where there is reasonable doubt. A response is normally provided within one month; an extension of up to two months may be needed depending on the complexity or number of requests, with notice given within the first month. You can lodge a complaint with the French data protection authority, CNIL: www.cnil.fr/fr/plaintes.
